Your privacy is of the utmost importance to us here at Eventgroove. We take all matters of privacy and security very seriously and have taken measures to make sure you trust us as a company and feel safe using our website. When Eventgroove handles your sale or any other communication, we understand that you do not wish to have your personal information (name, address, phone number, etc.) distributed. Therefore, we will not distribute, rent, sell or otherwise provide your personal information to any entity or for any reason except for the few instances specifically detailed below.
Information We Collect
Customers of Eventgroove are asked to provide a minimal set of personal information to set up an account and process their order. We collect some personally identifiable information such as your name, address, phone number, organization information, email, and payment information (account or credit card numbers, expiration date, billing address, etc.) which you enter when setting up your account and/or checking out your order. We also collect all information related to your order, including product types, quantity, cost and discounts, and shipping information.
All information used to create a DYO, template or custom product is collected and saved, including any Personal Information you use, such as your name and address, the name of your organization or business, names of your sponsors and any associated images. If you contact our customer support representatives, you may provide Personal Information over the phone or email that will be collected and stored in our database.
Except for your email address, all gathered information is required to authenticate your financial transaction with the credit card company. We require your email address so that we can send you a receipt of your transaction and, if you've purchased software, we email the license key necessary for turning on the full functionality. All of Eventgroove's emails are in accordance with the strictest possible guidelines against Unsolicited Commercial Email.
We also collect some information automatically such as cookies. Cookies are used to significantly enhance your experience as a user and customer of Eventgroove. Cookies make it possible to keep track of your purchases, deliver content specific to your interests, save your password, and track other information. This means you do not have to enter information multiple times. You may disable cookies on your web browser if you choose, although you will have limited functionality on Eventgroove which this may affect your enjoyment of the website. The information collected with cookies is secure and do not contain any personally identifiable information. Please contact your browser provider for details on how to remove cookies.
We also use ETags, which store a unique customer code in your browser cache so we can easily identify you when you return to our Site. ETags enable us to tailor our Site to you, which includes your preferences, settings and order history. ETags do not carry Personal Information and can be deleted by clearing your browser’s cache.
How the Information is Used
We may utilize your email address to contact you regarding customer service inquiries, communicate with you about our site and improve our products and user experience and products. If you opt-in to receive promotional emails from Eventgroove we will use your email address to communicate email such as promotions, specials, seasonal events, and new products or services. While you can choose to opt out of promotional emails at any time but your email address will still be stored and associated with your account.
We will always notify you as to the types of information we are collecting about you as well as the uses we intend to make of that information. We will always tailor articles and their corresponding email communications to your organization and your expressed interests. You may opt out of these types of communications at any time, by selecting the opt-out checkbox in your account profile.
Personal Information may be disclosed if required to comply with government, legal or criminal investigation requests. Non-personal data, as mentioned above, cannot be linked to the personal data we collect, it is simply a general data resource to better serve our customers. This information is used for Site troubleshooting and analysis, which drives Site and service improvements and personalization of your user experience. This information may also be used to comply with applicable State, Federal and International laws.
We may need to securely transfer your information to a very limited set of relevant partners. By submitting your personal information, you consent to such processing and transfers in connection with such orders. In terms of third parties to whom we may supply personal information, these are:
- Key Fulfillment Agents: which provide critical services to execute your order.
- Transaction Processors: merchant bank and credit card payment processor.

You have certain rights as a customer of Eventgroove. You have the right to request information about the personal data we hold on you by submitting a request to email@example.com. If your data is incorrect or incomplete, you have the right of rectification and can modify your Personal Data at any time in the My Account section of the website or by requesting Eventgroove to correct or remove the incorrect or incomplete information.
You also have the Right to Erasure, by providing a request to firstname.lastname@example.org (please note that this will result in irrevocable removal of your personal data from our servers or anonymization of your data which means that you will no longer be able to place orders unless you create a new registration with a new email address).
We cannot remove your data when there is a legal storage requirement, such as book-keeping rules or when there are other legitimate grounds to keep the data, such as unsettled debts or for the completion of order contracts. You can withdraw your consent to be contacted regarding marketing purposes at any time by updating your preferences in My Account or by clicking on the unsubscribe link at the bottom of any such emails.
However, if you exercise your right to opt-out of receiving marketing messages from us, please be aware that you may continue to receive certain non-marketing communications from us. For example, we may still need to contact you about your order or important changes to our products, services or site that affect you or about any agreements we may have entered into with you.

Eventgroove has implemented several measures to ensure your personal information is protected. Our Site uses Secure Socket Layer (SSL) certifications to protect any personal information in transit over the web. We also encrypt all critical data in our database. Our web servers and database are protected behind firewalls to prevent outside access except through our Site. Our hosting provider, maintains very high levels of security around the physical servers and network access. Servers are located in California and Oregon, USA. Despite these measures, we cannot guarantee the absolute security of any information submitted to the Site.
Account Information, preferences and order histories can only be accessed with a valid user name and password. Some sites (White Label/Private Label) can only be accessed through a separate portal that also requires an email and password. Every user is responsible for protecting their password from misuse or theft and we hold no responsibility for the misuse of your password. If your password was misused or stolen, please contact our customer support representatives immediately.
Updating Your Personal Information
Once you have registered you can access your account in the My Account section of the Site. Here you can update your Personal Information such as address, email, phone number and communication preferences. Reseller Site Information Sharing
Designated administrators within Eventgroove, namely managers and customer service representatives, also have access to full order information in order to process orders through the Eventgroove Operations Management System, issue refunds and process cancellations.
Employees at Eventgroove are under strict policy not to share any customer information outside the purposes outlined above.
